About the Role
The Executive Assistant is responsible for providing high-level administrative support to senior leadership — bringing exceptional professionalism, independent judgment, and a proactive mindset to every interaction. This position coordinates and manages calendars, screens incoming correspondence, and manages meeting logistics on behalf of the leader.
The Executive Assistant anticipates needs and issues, recommends and acts to proactively resolve challenges, and consistently demonstrates the highest level of diplomacy, discretion, and confidentiality. This is a role for someone who thrives in a fast-paced environment, takes initiative, and is trusted as a true partner to executive leadership.
Your Role Responsibilities? Here's What You'll Do.
- Coordinate, manage, and maintain multiple executives' or one senior executive's calendar and daily schedule — screening incoming correspondence and communications and responding independently when possible.
- Manage logistics for internal and external meetings — including scheduling conference rooms, arranging catering, preparing agendas, managing meeting materials, and recording and distributing meeting minutes as needed.
- Arrange travel plans and itineraries, compile documents for travel-related meetings, and ensure expense reports and purchase orders are completed accurately within budget and approved within the system.
- Anticipate the needs of executive(s) by proactively resolving operational and administrative issues before they arise — serving as a trusted advisor on issues and trends and providing general consulting services leveraging expertise and best practice knowledge.
- Research, compile, and summarize complex or large quantities of data into concise work products — drafting reports, meeting action items, and updates that keep the executive fully informed on the status of assignments, projects, and general operations.
- Draft, edit, and distribute approved communications to staff, external key stakeholders, and executive leaders on behalf of the leader — maintaining confidential and sensitive information with the highest level of professionalism, diplomacy, and discretion.
Role Essentials
- Associate's degree or equivalent experience, with demonstrated experience directly supporting and working with executives in a fast-paced, deadline-driven environment.
- Strong oral and written communication skills — demonstrating a professional demeanor and the ability to interact with others with discretion, tact, and confidence at all levels of the organization.
- Strong organizational, multi-tasking, and time management skills — with the ability to handle a high volume of responsibilities and perform under deadline pressure with exceptional follow-through.
- Demonstrated ability to handle sensitive and confidential information with discretion and tact — maintaining the highest level of professionalism and independent judgment in decision-making matters.
- Self-motivated with strong attention to detail and a proactive approach to wide-ranging responsibilities — with the ability to work both independently and collaboratively in a team environment, with up to 5% travel time required.

- Strong ability to develop and use engaging, informative, and compelling presentation methodologies to support executive communications and stakeholder engagement.
- Experience utilizing internal systems and corporate resources to identify new and innovative ways to improve efficiency in executive office management.
- Strong interpersonal skills — with the ability to maintain solid rapport with team members and professionalism with those outside of the department, including external key stakeholders.
- Experience mentoring, coaching, and training other team members — with the ability to provide constructive feedback and support the development of peer capabilities.
- Adaptive, confident, and responsible use of digital technologies for executive office management — with proficiency in Microsoft Office and Outlook or equivalent email and calendar software.
Pay Transparency
The compensation range for this role is $84,690 - 97,819 per year. Actual compensation will be determined based on experience, qualifications, and other job-related factors in accordance with applicable laws.
